Refill — Terms & Privacy

This page covers what is specific to Refill, the subscriptions app. It sits on top of the terms and privacy notice common to every Keelhelm app; read them together.

What Refill reads and does

Refill requests read access to your customers, orders, and products, and read and write access to your own subscription contracts, to offer subscribe-and-save, manage subscription contracts, and run a customer portal. It orchestrates subscriptions; it does not modify your products, themes, or checkout.

Subscriptions run on Shopify — we never touch the money path

Subscription contracts and their recurring charges are created and executed entirely within Shopify's own Subscriptions and billing systems. Refill never enters the payment path and never stores your customers' payment credentials (card numbers, bank details, or the like) — that data stays with Shopify and its payment providers, so Refill is out of scope for payment-card (PCI) handling by design. Shopify remains the source of truth for every contract and charge; Refill keeps a mirror of contract state to schedule and reconcile against it.

Cancellation-save offers

When a customer tries to cancel, Refill can offer to pause, skip, swap, discount, or issue store credit. Any store credit issued here uses the same native Shopify store-credit ledger that Punchcard and Roundtrip use — the credit lives in the customer's Shopify account, and works whether or not those apps are installed.

Notifications

Dunning and subscription emails are sent through our notification service.

Plans

Refill offers Free, Starter, Growth, and Unlimited plans, with 0% transaction fees at every tier, billed through Shopify (monthly, or annually at a discount). Current prices and limits are on the pricing page.

Data retention and deletion

Contract-state mirrors and subscription records are kept while Refill is installed and are deleted or anonymized on uninstall and on Shopify's customers/redact and shop/redact requests, as described in the common privacy notice.

Refill is operated by Keelhelm. Beyond this page, the common app terms and app privacy notice apply, and so do the company-wide Terms, Acceptable Use, Privacy, and Copyright / DMCA policies, incorporated by reference.
